Welcome to BYOND™ Credentialing Solutions (“BYOND,” “Company,” “we,” “our,” or “us”). These Terms of Service (“Terms”) govern your access to and use of our website, digital products, subscriptions, educational resources, credentialing support services, monthly retainer services, forms, client portal, and related offerings.
By accessing this website, purchasing a product or service, subscribing to a plan, submitting a Credentialing Support Request, or otherwise using our services, you agree to these Terms. If you do not agree, please discontinue use of the website and services.
Credentialing & Administrative Support Services
BYOND™ Credentialing Solutions provides administrative credentialing, enrollment, contracting, recredentialing, revalidation, credential maintenance, provider data management, expiration monitoring, payor follow-up, and related practice support services.
Depending on the service purchased and authorization provided by the client, BYOND™ Credentialing Solutions may communicate with payors, health plans, credentialing entities, government programs, and other applicable organizations on the client's behalf for purposes related to credentialing, enrollment, contracting, maintenance, and follow-up.
Specific services, pricing, submission allowances, responsibilities, limitations, and other terms applicable to monthly retainer clients are governed by the applicable Retainer Services Agreement & Authorization executed between BYOND™ Credentialing Solutions and the client.
If these website Terms conflict with an executed written service agreement between BYOND™ Credentialing Solutions and a client, the executed service agreement will control with respect to the services covered by that agreement.
Client Responsibilities
Clients are responsible for providing complete, accurate, current, and truthful information and documentation necessary for BYOND™ Credentialing Solutions to perform requested services.
Clients are also responsible for:

Responding to requests for additional information or documentation in a timely manner.

Reviewing information for accuracy when requested.

Notifying BYOND™ Credentialing Solutions of changes that may affect credentialing, enrollment, contracting, or maintenance activities.

Ensuring providers complete actions that must legally or procedurally be performed by the individual provider.

Maintaining required licenses, certifications, insurance coverage, registrations, and other credentials.
-
Providing updated documentation following renewals, changes, or expirations.
-
Maintaining appropriate access and authorization for any accounts, systems, or information provided to BYOND™ Credentialing Solutions.
Delays caused by incomplete, inaccurate, expired, or missing client information may delay completion of services and are outside the control of BYOND™ Credentialing Solutions.
Monthly Retainer Services
Monthly Credentialing Retainer Services provide ongoing credentialing support according to the plan selected by the client and the applicable Retainer Services Agreement.
Services may include ongoing credentialing maintenance and a defined monthly allowance for new enrollment or contracting submissions, depending on the plan purchased.
Monthly submission allowances reset each billing cycle. Unused submissions do not roll over, accumulate, or carry forward to future billing cycles.
Requests exceeding a plan's included monthly submission allowance may require an additional fee or separate quote before work begins.
The availability, scope, pricing, features, and submission allowances associated with retainer plans may change from time to time. Changes affecting an existing client will be handled in accordance with the client's applicable service agreement and applicable law.
What Constitutes a Submission
Unless otherwise specified in the applicable service agreement or plan description, one submission generally means one new enrollment or contracting request requiring a separate application or submission to a payer.

Examples may include a new individual provider enrollment or a new group payer contract involving the group and one rendering provider.
Â
Requests involving additional providers, locations, payers, applications, or other separately processed enrollments may constitute additional submissions.

Standard Submission Allowance & Exclusions
The monthly submission allowance applies only to standard payer enrollment and credentialing requests reviewed and accepted by BYOND™ Credentialing Solutions.
Â
Certain payers, networks, enrollment types, or credentialing requests may be excluded from the standard monthly submission allowance due to factors including, but not limited to, significantly greater administrative requirements, complex or extended processing workflows, specialized enrollment procedures, extensive documentation requirements, or additional follow-up and coordination.

BYOND™ Credentialing Solutions reserves the right, at its discretion, to determine whether a payer, network, enrollment, or credentialing request falls within the standard submission allowance. Requests determined to fall outside the standard allowance may be declined, quoted separately, or offered as an additional service for an additional fee.

BYOND™ will notify the Client before beginning any work that falls outside the standard submission allowance or would result in an additional fee.
Â
A submission will count toward the Client’s monthly allowance only after BYOND™ has reviewed and accepted the request for processing.
Credentialing Maintenance
Ongoing credentialing maintenance may include, depending on the client's plan and circumstances:

CAQH maintenance and re-attestations

NPI/NPPES updates
-
Provider and group demographic updates
-
License and certification updates
-
Directory and roster maintenance
-
Recredentialing and revalidation
-
Provider terminations
-
Payor follow-up and status monitoring
-
Credential expiration monitoring
-
Other related credentialing maintenance activities
This list is illustrative and does not guarantee that every service is included under every plan or circumstance. The applicable service agreement and plan terms determine the client's specific scope of services.
Credential Expiration Monitoring
Where included or separately arranged, BYOND™ Credentialing Solutions may monitor credential expiration and re-attestation dates, including items such as professional licenses, BACB certifications, CAQH re-attestations, and other applicable credentials.
For practices with multiple providers, BYOND™ Credentialing Solutions may accept provider information in bulk for expiration-monitoring purposes.
Expiration monitoring is a tracking and reminder service. BYOND™ Credentialing Solutions may send reminder notifications to providers and designated practice contacts; however, providers and practices remain responsible for completing required renewals.
BYOND™ Credentialing Solutions cannot perform actions that a licensing board, certification organization, government agency, or other entity requires the individual provider to personally complete, attest to, sign, or submit.
Credentialing Support Requests
Clients may submit service requests through the BYOND™ Credentialing Solutions Credentialing Support Request Form or another method approved by BYOND™ Credentialing Solutions.
Submission of a request does not necessarily mean that work can begin immediately. BYOND™ Credentialing Solutions may first review the request for completeness, scope, required documentation, applicable plan allowances, and any additional fees.
BYOND™ Credentialing Solutions may request additional information or documentation before processing a request.
Client Credentialing Portal
Eligible clients may receive access to a Client Credentialing Portal providing high-level status information regarding submitted credentialing requests.
Portal information is intended to provide convenient visibility into credentialing activity and should not be interpreted as a complete record of every communication, action, internal task, or interaction associated with a request.
Status information may be updated as work progresses and as information is received from payors and other third parties.
Clients are responsible for safeguarding portal credentials and access codes and should not provide access to unauthorized individuals.
No Guarantee of Credentialing or Payor Outcomes
Credentialing, enrollment, contracting, reimbursement, network participation, and related decisions are controlled by third-party payors, health plans, government programs, credentialing entities, and other organizations.

BYOND™ Credentialing Solutions will provide the applicable administrative services but cannot control or guarantee decisions made by third parties.
Third-Party and Payor Delays
BYOND™ Credentialing Solutions is not responsible for delays, errors, outages, processing backlogs, lost submissions, system limitations, policy changes, portal issues, communication failures, or decisions caused by payors, government agencies, credentialing organizations, technology vendors, or other third parties outside our reasonable control.
Processing times provided by BYOND™ Credentialing Solutions are estimates unless expressly stated otherwise and may change based on third-party requirements or circumstances.
Educational Products & Resources
BYOND™ Credentialing Solutions also provides digital products and educational resources, including guides, templates, trackers, SOPs, policies, checklists, articles, training materials, and other operational resources.
These materials are provided for educational and informational purposes and do not constitute:

Requirements may vary by payor, jurisdiction, provider type, program, and circumstance and may change over time. Users remain responsible for independently verifying requirements applicable to their organization.
No Affiliation With Payors or Government Agencies
BYOND™ Credentialing Solutions is an independent business and is not affiliated with, endorsed by, sponsored by, or owned by any payor, health plan, Medicaid agency, Medicare, CMS, licensing board, credentialing organization, government agency, or regulatory entity unless expressly stated otherwise.
References to third-party companies, programs, organizations, trademarks, and service marks are provided for informational or service-related purposes. All third-party trademarks and service marks remain the property of their respective owners.
Authorization from a client allowing BYOND™ Credentialing Solutions to communicate with a payor or other organization on the client's behalf does not create an affiliation, agency relationship, endorsement, or partnership between BYOND™ Credentialing Solutions and that third party.
Payments, Recurring Billing & Refunds
Prices and payment terms are displayed at the time of purchase or stated in the applicable service agreement.
Monthly retainer plans and other recurring subscriptions automatically renew according to the billing frequency and terms disclosed at purchase unless canceled in accordance with the applicable plan or service agreement.
Clients are responsible for maintaining a valid payment method.
Except where otherwise expressly stated or required by law, payments for digital products, subscriptions, and services are non-refundable once purchased or once the applicable service period has begun.
Digital products are generally non-refundable due to their immediately accessible nature.
Additional services, out-of-scope work, or submissions exceeding a client's monthly allowance may require separate approval and payment.
Cancellation & Termination of Services
Clients may cancel recurring services according to the cancellation terms disclosed at purchase and in the applicable service agreement.
BYOND™ Credentialing Solutions may suspend or terminate access to services where permitted by the applicable agreement or law, including for:

Nonpayment

Material breach of an agreement

Fraudulent or abusive activity
-
Unauthorized sharing of proprietary materials
-
Misuse of services or systems
-
Failure to provide information necessary to perform services

Conduct that creates security, legal, compliance, or operational risk
Termination or cancellation does not eliminate payment obligations incurred before the effective date of termination.
Electronic Communications & Signatures
Clients may cancel recurring services according to the cancellation terms disclosed at purchase and in the applicable service agreement.
BYOND™ Credentialing Solutions may suspend or terminate access to services where permitted by the applicable agreement or law, including for:

Nonpayment

Material breach of an agreement

Fraudulent or abusive activity
-
Unauthorized sharing of proprietary materials
-
Misuse of services or systems
-
Failure to provide information necessary to perform services

Conduct that creates security, legal, compliance, or operational risk
Termination or cancellation does not eliminate payment obligations incurred before the effective date of termination.
Intellectual Property
Unless otherwise stated, all website content, graphics, branding, downloads, templates, trackers, SOPs, workflows, guides, policies, checklists, articles, training materials, forms, and digital products are owned by or licensed to BYOND™ Credentialing Solutions and are protected by applicable intellectual property laws.
Purchased digital products are licensed for the purchaser's internal business use only unless otherwise expressly stated.
Users may not, without prior written permission:

Resell or redistribute materials

Republish materials publicly

Share purchased materials with unauthorized third parties

Reproduce substantial portions for commercial distribution

Modify materials for resale

Remove proprietary notices or branding

Represent BYOND™ Credentialing Solutions materials as their own original work
Purchase of a product or service does not transfer ownership of BYOND™ Credentialing Solutions intellectual property.
BYOND™ Insider
BYOND™ Insider provides subscribers with access to designated educational resources, content, and other subscriber benefits.
Access is limited to authorized subscribers and may not be shared with unauthorized users.
BYOND™ Credentialing Solutions may update, replace, add, or remove Insider content and may modify future pricing or features subject to applicable subscription terms and law.
Limitation of Liability
To the fullest extent permitted by applicable law, BYOND™ Credentialing Solutions will not be liable for indirect, incidental, special, consequential, or punitive damages, lost profits, lost revenue, lost business opportunities, operational interruptions, or similar losses arising from use of the website, digital products, educational resources, or services.

BYOND™ Credentialing Solutions is not responsible for losses resulting from third-party payor decisions, credentialing denials, enrollment delays, reimbursement decisions, inaccurate information supplied by a client, changes in third-party requirements, or circumstances outside our reasonable control.
Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.
Governing Law
These Terms are governed by the laws of the State of California, without regard to conflict-of-law principles, except where applicable law requires otherwise.
Changes to These Terms
BYOND™ Credentialing Solutions may update these Terms periodically to reflect changes to our services, business practices, technology, or legal requirements.
The updated version will be posted on this page with a revised “Last Updated” date. Where required by applicable law or contract, additional notice will be provided.
Continued use of the website or services after updated Terms become effective constitutes acceptance of the revised Terms to the extent permitted by law.

Credentialing Services Disclaimer
BYOND™ Credentialing Solutions provides administrative credentialing, enrollment, contracting, maintenance, and related support services.
Final decisions regarding credentialing, enrollment, contracting, network participation, reimbursement, effective dates, and other payor matters are made by the applicable third-party organization.
BYOND™ Credentialing Solutions cannot guarantee approval, processing time, participation status, reimbursement, or any other outcome controlled by a third party.
Educational Resource Disclaimer
Digital products, guides, templates, trackers, policies, articles, training materials, and other educational resources provided by BYOND™ Credentialing Solutions are for educational and informational purposes.
Nothing contained in these resources constitutes legal, medical, tax, accounting, or financial advice, compliance certification, government guidance, or a guarantee of any credentialing or regulatory outcome.

Protected Health Information
In certain client relationships, BYOND™ Credentialing Solutions may create, receive, maintain, or transmit Protected Health Information (“PHI”) while performing services for a covered entity or another business associate.
Where BYOND™ Credentialing Solutions is acting as a HIPAA business associate and a Business Associate Agreement is required, our use and disclosure of PHI will also be governed by the applicable Business Associate Agreement (BAA) and HIPAA requirements.
HHS explains that business associates that create, receive, maintain, or transmit PHI on behalf of covered entities are subject to specific HIPAA requirements, and applicable BAAs must address permitted uses and disclosures, safeguards, reporting, subcontractors, and other obligations.
If this Privacy Policy conflicts with an applicable BAA concerning PHI, the BAA will control with respect to that PHI.

Payment Processing
Payments may be processed by third-party payment processors. BYOND™ Credentialing Solutions does not intentionally store complete payment card information on its own servers when payment information is handled directly by the applicable payment processor.
Payment providers maintain their own privacy and security practices.

Data Security
BYOND™ Credentialing Solutions uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
Where HIPAA applies to electronic PHI, applicable safeguards will be maintained consistent with our obligations under HIPAA and the applicable BAA.
However, no internet transmission, electronic communication, or information-storage system can be guaranteed to be completely secure.

Client Responsibilities for Sensitive Information
Clients should submit sensitive credentialing information only through methods approved by BYOND™ Credentialing Solutions for that purpose.
Clients should not send sensitive personal information, account credentials, or PHI through unsecured channels when a designated secure method is available.
Clients are responsible for ensuring that individuals submitting information on behalf of their organization are appropriately authorized to do so.

Data Retention
We may retain information for as long as reasonably necessary to:

Retention periods may vary depending on the type of information and applicable contractual or legal requirements.
Where an applicable BAA governs PHI, return, destruction, or continued protection of PHI following termination will be handled in accordance with that BAA and applicable law. HHS identifies return or destruction of PHI at termination, where feasible, as one of the provisions addressed in business associate agreements.
